Booking a UK English school: payment, cancellation, entry requirements and documents

Establish what you are booking

Before payment, obtain course and accommodation confirmation, a final invoice and the applicable terms. Tuition, a residence, airport transfers and an exam may involve different contracts. Establish the provider responsible for each service and who receives payment.

Keep a booking file before payment

Save the centre name and address, operator, course, dates, price-list year, contact hours, lesson length, group limit, entry level and age eligibility. Accommodation confirmation should identify nights, room, bathroom, meals, supplements, deposit and when the address will be supplied.

Save the quotation, cancellation/refund terms, payment receipt, booking reference, emergency contacts and insurance documents. Ask for important telephone promises to be confirmed in writing.

For children, include medical forms, parental consent, responsible adult contacts, independent-exit rules, airport handover and a packing list. Explain who the child can approach with a problem and how to contact you.

An absent line is not automatically free: ask whether the item is included elsewhere or paid locally. If paying an agent, establish when the school receives funds and how school confirmation is obtained.

Cancellation and entry refusal

Request separate rules for voluntary cancellation, refusal of entry, illness, date changes and no-shows. Each needs a notification deadline, submission method, required evidence, retained fees and refund timing/method.

Visa-refusal refunds may require the official decision and notification by a deadline, and may exclude registration or accommodation. A promotional phrase is not evidence of a full refund. Match school conditions against ticket and insurance terms.

Ask whether deposits can transfer to another course or person and which year's tariff applies after a date change. Changes after teaching starts, missed lessons and early departures need separate checking. The individual contract determines the answer.

Holidays, timetables and course cancellation

Ask which closure days fall within your booking and whether lessons are replaced or refunded. Request the timetable for your dates, including possible morning/afternoon changes. Activity return times can affect independent plans.

For programmes with restricted starts, establish final confirmation deadlines and low-enrolment alternatives: another course, another centre, reduced hours or a refund. Do not treat a provisional offer as a guaranteed departure when buying non-refundable services.

Entry for a short course

GOV.UK permits study visits of up to 6 months at accredited institutions, including English courses. Visa or ETA requirements depend on nationality and circumstances. Check study-visit rules ↗ and the official visa checker ↗.

English courses longer than 6 and no more than 11 months have the separate Short-term study route. The checked official page lists a £228 visa fee and usually £776 healthcare surcharge, outside the school package. Recheck current fees and eligibility. Short-term study conditions ↗.

An existing UK status may change the appropriate route; do not automatically apply for another visa simply because you book lessons. Course acceptance does not guarantee entry permission. Use an appropriately authorised adviser for individual immigration questions.

Documents for children

An unaccompanied minor needs written parental/guardian consent and suitable accommodation and care arrangements. Airline requirements are separate. GOV.UK guidance for visitors under 18 ↗.

Longer accommodation outside a close family may require additional procedures depending on age, duration and region. Ask who arranges required notifications and documents. An advertised coordinator does not replace legal care requirements.

Insurance and health

Obtain written school insurance requirements and check them with the insurer. Assess medical cover, cancellation, existing conditions, age restrictions, sports, baggage and excess. Included insurance does not necessarily cover every cancellation reason or required service.

Disclose significant medical needs before confirmation. For children's medication, establish storage, administration, required documents and action if a dose is missed. Dietary and accessibility requirements also need advance agreement.

Airport transfers

Give the airport, terminal, flight number, date, time and passenger count. Obtain the meeting point, delay contact, waiting limit, late charges and replacement-transfer procedure. Accommodation check-in must match arrival time.

For children, confirm handover between airline staff and the programme, unaccompanied-minor services and departure assistance. An ordinary transfer driver does not automatically provide airline handover services. Confirm each stage.

A remote airport can change the value of similarly priced courses. Compare flights, transfers and additional nights with the teaching package.

Payment checks

Verify the recipient against the official website and school confirmation. Confirm unexpected bank-detail changes through a known official contact. Keep receipts and avoid posting passports or payment details publicly.

Check the payment currency, responsibility for bank charges and how refunds work. A payment receipt should not be your only evidence of a place: obtain a booking reference and confirmation of the specific course and accommodation.

If something goes wrong

Set out facts, dates and the requested remedy. Follow the programme contact and complaints process, retaining replies and supporting documents. For lessons, identify promised versus actual hours, level or group size; for accommodation, identify the specific agreed facility.

Ask about escalation if the issue remains unresolved. Accreditation helps assess the centre and reports but does not establish automatic compensation for every complaint. Centres and inspection reports ↗.

Ready-to-use school enquiry

“Please confirm the course for… for a student aged… at level… The goal is… We need… contact hours per week, a maximum class size of… and accommodation… Please provide the total with compulsory fees, current price list, holiday timetable, cancellation/entry-refusal terms, payment deadline, contract and confirmation process. Which services, admission tickets, meals and transport are excluded?”

Before departure

Recheck addresses, first-day arrival time, accommodation, airport route, meeting contact, emergency number and documents a few days before travel. Download offline copies. Establish who needs to be informed of a delay.

For camps, agree contact times, independent activities and responsible adults. Adult students should ask what to bring on day one, when placement testing occurs and whether the lesson timetable is available in advance.
